Manager _Expatriate Administration & Shared Services Support
(Selangor - Cyberjaya)

Responsibilities:

  • To assist the expat in their relocation, home search and application of various utilities services. Responsible for tracking the expat’s utilities bills and updating the expat online data base.
  • Managing expat residence inventory list
  • To identify, set-up, maintain the residence for the new Expats/Secondees who move to GSCM (Cyberjaya/KLC/HGRL)
  • Responsible for processing IOCs for all vendor invoices related to Expat’s residence maintenance and updating the expat online data base.
  • Be responsible for ensuring that a high standard of customer service is provided to users and expats and ensure that changes is managed and new requirements implemented in an efficient, effective and controlled manner. Ensure that the support process is operating at maximum efficiency and identify and implement improvements to processes and procedures in own area or recommend improvements to other areas.
  • Improve services quality to all internal customers, staff and expatriates.
  • Ensure internal and external customer queries/needs are effectively addressed and work towards customer delight. All the queries /complaints are handled deftly, swiftly and in a friendly manner.
  • Identify ways of improving services/adding value/reducing costs in the line with business goals.
  • Ensure all standards group policies, procedures and guidelines are in place and adhered with by all departments in the Shared Services Support.
  • Ensure consistent process and procedures along with relevant SLAs and control checks are in place for the department across Cyberjaya/KLC/HGRL.
  • Produce workflows for smooth functioning of various activates within the department
  • Ensuring all actions take account of the like hood of operational risk occurring
  • Adherence to all relevant procedures, keeping appropriate records and where appropriate by the timely implementation of internal and external audit points, including issues raised by external regulators.
  • Ensure any serious issues are escalated timely and measures put things right at first time.
  • Coordinating and sharing data with Expat, HR team adherence to confidentiality.
  • Submission of bills to finance. Collection of cheques and distribution in a timely manner and as per agreed SLAs.

Requirements:

  • Graduate in any discipline with an experience in Shared Services Support environment. Candidates with strong technical background and experience in handling expat administration are encouraged to apply.
  • Ability to build rapport with and relate to and a wide range of people.
  • Ability to multitask & flexibility to work odd hours/weekends.
  • Ability to generate meaningful MI & to exercise adequate controls.
  • Manage time and assess priorities and make decisions as to their relative importance and level of urgency.
  • Excellent verbal and written communication skills.
  • Strong accounting acumen, planning, organizing and administration skills.
  • Ability to work under pressure, prioritize and multitask.
