FACILITY CLERK
Job Summary
The Maintenance Clerk is responsible for providing administrative support to the maintenance team by managing and maintaining accurate records of maintenance activities, coordinating schedules, monitoring inventory, and ensuring efficient operations. The role involves tracking and reporting on maintenance tasks, vendor services, equipment performance, and damages across various phases of the facility, while ensuring compliance with safety regulations and company procedures
PRIMARY DUTIES AND RESPONSIBILITIES: -
Prepare a monthly management report slide for crane and conveyor troubleshooting and phase 5 building damages.
Print and file the monthly temperature record, hourly manual temperature logs, and all checklists (daily, weekly,
Arrange the schedule and OT forms for shift workers monthly, and submit them to the HOD for review.
Inspect and record damages in phases 1, 2, 3, and 5. Report findings and update the HOD accordingly.
Verify vendor services and repairs, then file the relevant documentation in the vendor's file.
Update and compile all project and damage reports in the monthly FMD report, and share it with the HOD.
Maintain and update the vendor's file and temperature records.
Monitor inventory levels of maintenance and cleaning supplies and equipment, and report needs to the
Maintain relationships and work closely with contracted vendors.
Perform administrative duties, such as completing forms and reporting maintenance status to the supervisor.
Assist in scheduling and coordinating maintenance activities, collaborating with technicians and departments for repairs, and tracking work orders while reporting delays to the Maintenance Manager.
Serve as a liaison between the maintenance team and other departments, addressing inquiries related to maintenance services or equipment.
Ensure compliance with company policies in maintenance records and generate reports on maintenance tasks, equipment performance, and inventory usage.
Adhere to all safety and health regulations.
Manage inventory, including tracking spare parts, tools, and equipment, working with suplier to restock, and maintaining accurate records.
Assist in developing and implementing maintenance policies and procedures.
Requirements:
1.Minimum qualification: Diploma or equivalent.
2.Proficient in Microsoft Office (Word, Excel, etc.).
3.Detail-oriented and highly organized.
4.Good communication and interpersonal skills.
5.Able to work independently and meet deadlines.
