School Administrator

The School Administrator is overall responsible for :

 

1.   Providing secretarial and administrative support to the Head of Nursing Programmes.

2.   Ensuring compliance with legal and administrative requirements.

 

Job Details

 

1.   To support the Head of Nursing Programmes and other administrative personnel for the purpose of assisting with their administrative functions.

2.   To assist in the management of Head of Nursing Programmes diary / scheduling of various activities (e.g. referral appointments, meetings) for the purpose of assisting in meeting staff needs and efficiently utilizing personnel, equipment and facilities.

3.   To respond to inquiries from a wide variety of internal and external parties (e.g. parents, students other agencies) for the purpose of providing information, facilitating communication among department and /or providing direction as may be required.

4.   To provide secretarial support for staff meetings chaired by the Head of Nursing Programmes.

5.   To prepare a wide variety of reports and written materials (correspondence, agendas, minutes) for the purpose of documenting activities and providing written reference.

6.   To process documentation and materials for the purpose of disseminating information to appropriate personnel for action.

7.   To track all incoming and outgoing documents for the Head of Nursing Programmes.

8.   To be responsible in maintaining an organized filing system (computerized and manual records, files and departmental databases), keeping of confidential records and information, and ensuring the confidentiality of such information.

9.   To coordinate a variety of programs and/or activities for the purpose of ensuring the availability of facilities and/or equipment and delivery services in conformance to established SOPs.

10. To assist in the screening of phone calls, taking message and redirecting callers to the correct department or person.

 

Licensing & Accreditation

 

1.   To liaise with all regulatory bodies (MOHE, MNB & MQA, MYQUEST) with the purpose of ensuring compliance with legislative requirements.

2.   To monitor assigned department/program activities for the purpose of ensuring completion in compliance with established legal and/or administrative requirements.

 

Administration

 

1.   To assist the principal to prepare letters for any regulatory bodies.

2.   To compile data from a variety of sources for the purpose of complying with legal and/or administrative requirements.

To perform any other duties as assigned from time to time.

  2. Specific knowledge to satisfactorily perform the functions of the job which includes business telephone etiquette and ability to communicate with diverse groups.

  6. Ability to maintain confidentiality.
  7. Ability to work independently while ensuring alignment with the guidelines.
