Overview
As the Administrative & Human Resources Executive, you will be responsible for overseeing all aspects of administrative matter & human resources management at our factory. Your role will encompass talent acquisition, employee relations, performance management, training and development, and ensuring compliance with labour laws and regulations.
Key Responsibilities:
- Talent Acquisition: Develop and execute effective recruitment strategies to attract and hire top talent for the factory. Source candidates, conduct interviews, and collaborate with hiring managers to ensure a smooth and efficient hiring process.
- Employee Relations: Foster a positive work environment by promoting open communication, resolving conflicts, and addressing employee concerns or grievances. Implement employee engagement initiatives to enhance morale and create a culture of teamwork and collaboration.
- Performance Management: Implement performance management processes, including goal-setting, performance appraisals, and feedback mechanisms. Provide guidance and support to managers in conducting performance evaluations and implementing performance improvement plans when necessary.
- Training and Development: Identify training needs and design development programs to enhance employees' skills and competencies. Coordinate with internal and external trainers to deliver training sessions and measure the effectiveness of training initiatives.
- Compensation and Benefits: Ensure competitive and equitable compensation and benefits programs are in place. Conduct regular market research to benchmark salaries and benefits, and make recommendations for enhancements or adjustments.
- Compliance: Stay up to date with labour laws and regulations in Malaysia and ensure the factory's compliance with these regulations. Maintain accurate HR records and documentation to meet legal requirements.
- HR Policies and Procedures: Develop and implement HR policies and procedures that align with organizational goals and comply with local labour laws. Communicate policies effectively to employees and provide guidance on policy interpretation and implementation.
- Support daily office operations and ensure a well-managed work environment.
- Process and track administrative invoices and property management expenses.
- Liaise with vendors, and contractors for property and facility management matters.
- Oversee maintenance contracts, ensuring timely updates and renewals.
- Organize corporate events, team-building activities, and company functions.
- Handle procurement of office and pantry supplies.
- Manage corporate mobile phone plans, transportation leasing, and utility arrangements for management staff.
- Assist in coordinating travel arrangements for corporate office personnel.
- Provide reception coverage when required and offer administrative support as needed.
- Participate in property-related projects and assist in taking meeting minutes.
- Perform other ad-hoc tasks assigned by the Immediate reporting Manager.
Qualifications and Skills:
- Bachelor's degree in Human Resources, Business Administration, or a related field. Professional certifications in HR management are a plus.
- 3-4 years of relevant experience.
- Basic knowledge of accounting and book keeping will be a plus point
- Proven experience as an HR Manager or a similar HR leadership role, preferably in a manufacturing or industrial environment.
- Solid knowledge of Malaysia labour laws and regulations.
- Experience in talent acquisition, employee relations, performance management, and training and development.
- Strong interpersonal and communication skills with the ability to build relationships and influence stakeholders at all levels.
- Excellent problem-solving and decision-making abilities.
- Ability to handle confidential and sensitive information with professionalism and discretion.
- Proficiency in HRM software and Microsoft Office skills.
