What's it like to be a Clerk?
Clerks manage company files in schools, government offices, healthcare facilities, and other business offices. Clerks are responsible for the tasks given to them by an office manager and other department employees. These tasks can range from managing company documents to answering phone calls and taking messages. Clerks need excellent communication skills because they often work in customer-facing positions. They also perform general recordkeeping and other communication activities to keep the office running.Tasks and duties
- Sorting incoming mail and responding to it or distributing it to other staff members.
- Ensuring that business files are accurate and accessible to other employees.
- Compiling financial reports and records.
- Rerouting calls to designated staff.
- Liaising with clients and employees and responding to any queries.
- Booking meeting rooms and scheduling appointments.
- Taking dictations and minutes during meetings.
- Handling travel arrangements and calculating expenses.
- Checking office supplies and reporting back to the office manager if the stocks are low.
- Disseminating information to other staff members.
How to become a Clerk
The skills required to become a Clerk are often learned on the job. This career is open to anyone who has at least a secondary school certificate or the Sijil Pelajaran Malaysia (SPM).
- 1.Consider taking classes in computer skills and office practises if your high school offers them. These classes will be a great introduction to the nature of work you will be doing.
- 2.Develop some office skills like typing, good phone etiquette, and word processing. While it’s not required, taking a certification course in general office practices or computer literacy will further enhance your skill set. Certificate programs are available at vocational schools or community colleges.
