What's it like to be a Front Office Assistant?
A Front Office Assistant is often the first point of contact for a company, handling all sorts of administrative tasks that facilitate the smooth running of an office. They manage reception duties, which include greeting and directing visitors, answering phone calls, and managing an organisation's correspondence. Front Office Assistants can be found in a variety of industries, including healthcare, hospitality, financial services and education. In addition, they may be responsible for coordinating meetings, events and making travel arrangements.
Tasks and duties
- Managing front desk activities such as answering phones and greeting visitors.
- Performing administrative duties such as filing, data entry and managing correspondence.
- Scheduling appointments and meetings, and maintaining calendars for senior staff.
- Assisting with supplier and vendor relations, including placing orders and managing invoices.
- Providing preliminary customer service, including handling complaints and forwarding queries to relevant departments.
- Maintaining a clean and organised reception area and creating a welcoming atmosphere.
- Supporting staff in the office by receiving and distributing communications and redirecting calls.
How to become a Front Office Assistant
At least an SPM is required for the role. Some work experience is an advantage.
- 1.Complete an SPM or STPM.
- 2.Gain experience in people-facing jobs by taking part-time or volunteer work.
- 3.Consider getting a bachelor degree in hospitality management, business administration, human resources or another related field.
