What's it like to be an Executive Assistant?
An Executive Assistant provides secretarial and administrative assistance for executives. The duties of an Executive Assistant include managing calendars, setting up meetings, writing emails and memos, and other organisational responsibilities. As the initial point of contact for internal and external communications, the Executive Assistant also communicates with clients, employees, and other relevant parties on behalf of the executive. They are also expected to organise documents and filing systems, including taking minutes, handling bookkeeping tasks, and preparing documents and reports.
Tasks and duties
- Managing scheduling needs such as setting up meetings, sending reminders, and making appointments.
- Answering phone calls and taking note of important messages for an executive.
- Communicating with clients and employees on behalf of executives.
- Fulfilling bookkeeping, filing, and administrative tasks such as minute-taking, handling corporate documents, sorting invoices, and writing memos.
- Screening and routing calls.
- Organising travel accommodations.
How to become an Executive Assistant
To work as an Executive Assistant, a diploma or bachelor degree in a relevant field is usually required. Fluency in Bahasa Malaysia and English is required for the role, though some employers may prefer or require fluency in Mandarin.

Acquire a diploma, bachelor degree, or post-graduate diploma in a relevant field, typically business.

Gain experience by taking internships or applying for entry-level roles. While the Executive Assistant position is usually open to fresh graduates, openings to work directly with high-level executives may require at least 1-3 years of relevant work experience. Larger organisations may also require more experience.
