What's it like to be an Events Coordinator?
An Events Coordinator is responsible for planning and organising events which might span from corporate meetings and business conferences, to social gatherings and large public events like festivals or concerts. Their responsibilities often include selecting and booking venues, coordinating with various vendors, managing budgets and adhering to health and safety regulations. They typically work in a variety of sectors including hotels, charities, businesses, universities and public bodies. An Events Coordinator often works closely with clients to understand their requirements for successful events.
Tasks and duties
- Coordinating all aspects of events, including venue selection, catering, entertainment and attendee registration.
- Working closely with clients to understand their event requirements and translating these into detailed plans.
- Negotiating contracts with vendors and suppliers for high quality service within budget.
- Managing event timelines and updating any changes to all involved.
- Overseeing the smooth set-up and packing-up of an event and making sure it's on schedule.
- Handling unexpected issues and emergencies that arise before and during events.
- Conducting post-event evaluations to determine how future events could be improved.
How to become an Events Coordinator
At least a diploma is required for the role. Candidates with field experience in events and a portfolio of favourable references are preferred.
- 1.Complete a diploma or bachelor degree in events management, public relations, hospitality management or another related field.
- 2.Gain event experience by volunteering, organising events for your community or booking freelance gigs.
- 3.Build a strong network of clients, suppliers, venues and other stakeholders.
- 4.Consider obtaining professional certification such as Total Event Management (TEM) under the Malaysian Association of Convention and Exhibition Organisers and Suppliers (MACEOS).
